Completing the application form

The application form provides the information used to assess your project. It is important that you ensure that the information provided is entered accurately and all relevant sections are completed.

Applicant and auspice details


When completing applicant details please ensure all details are up to date and the authorised person (See glossary below) has signed the application form. In some circumstances we will also ask you to provide details about another organisation who may act as an auspice for your application. The application form will provide details of when this is required. See the glossary for an explanation of the terms used in this section of the application form.

Completing the budget


The budget should include all income and expenditure related to the activity that you have included in your application. Generally, grants for major projects will require a comprehensive response that demonstrates your ability to manage such a project and that the financial sustainability of the project has been addressed. Be accurate in your costing – you cannot ask for additional funds later because the project was not accurately costed in the first place. Provide all information as requested in the program guidelines.

Support in-kind


By support ‘in-kind’, we mean goods or services that are provided to you for free which would otherwise be paid for (for example, support from volunteers).

Many grant programs provide funding based on a collaborative or partnership basis, with all the participants contributing to the overall cost of the project. Contributions can be monetary or support in-kind. The cost of volunteer labour and other in-kind support can be included in your budget as a project expense.

Always explain the nature and level of commitment and calculate a value for support in-kind, based on what it would have cost if you had to pay for it. While it is often difficult to attach a dollar value to volunteer work, a high level of community involvement will add intrinsic value to your project. Please provide explanation for how you have calculated the value of the support in-kind (for example: two volunteer administrators for 15 hours each valued at $15 per hour = $450.00).

If you include support in-kind in your budget, remember to include it in both your income and expenditure to ensure your budget balances.

A balanced budget


The total income and expenditure for your project must be of equal value, (ie income must equal expenditure). The amount you are requesting from this program must be included in the project income calculations.

Glossary


Auspice


An auspice is a legal entity (for example, an incorporated organisation) that is nominated by an applicant who is not a legal entity (for example, an unincorporated body) to sign the Funding Agreement and thereby take responsibility for the grant funding and project outcomes.

Authorised person


The authorised person is the person who is authorised by the organisation to make the application and/or manage the funds on their behalf.

Grant funds manager


If the application is successful, the auspice is sometimes known as the grant funds manager, as they sign the Funding Agreement and thereby take responsibility for the grant project funding and project outcomes.

Incorporated body


An incorporated body is an association or group of people who, as a group, are recognised as a legal entity separate from its members. Incorporation requires that the association complies with the legislative provision under which it is incorporated.

Legally constituted organisation


A legally constituted organisation is an entity which has rights and responsibilities under law. (Examples include: companies, government departments, incorporated associations).

Project location


This is the main project location, ie where the majority of your planned activity will be taking place.
