Grant application process

DPCD has developed a standard format for its grant applications. Application forms are included with the guidelines for individual grant programs.

Timetable for decision-making


Decision-making can seem very slow to those not involved in assessment. There may be many other applicants for the same grant program and the assessment panel needs time to assess each application thoroughly.

Most grant programs specify the time period for assessment and when they will notify applicants. Some programs require you (and potentially others involved in the application) to be available during the assessment phase.

Assessment process

  • Assessment against eligibility criteria (if your application does not meet the eligibility criteria it will be rejected at this stage)
  • Assessment against the selection criteria and the aims of the program (if your proposal does not meet the selection criteria or further the aims of the program, it will be rejected)
  • Assessment of the actual proposal and relative assessment of merit against other proposals
  • Shortlisting (may be accompanied by an interview or additional questions regarding your proposal)
  • Referee checks (including assessment of previous projects you may have undertaken)
  • Decision-making and notification


Not all programs follow all of these phases in this exact order. Check the specific information about the specific grant program(s) for which you are intending to apply for further information.

Reporting requirements


If your proposal is successful, you will be asked to report on your progress with the project and (where applicable) your expenditure.

Some programs may specify financial reporting requirements as well as progress requirements; others may negotiate specific requirements with you.

Evaluation


At the conclusion of the project you may be required to provide an evaluation report. Depending on the complexity and size of the project this report could simply be a summary of reporting undertaken to date and an overview of outcomes or a detailed impact study as well as financial report of expenditure and an assessment of whether the kind of project that was undertaken should be funded in the future.
